Assists the VP & General Manager, Sales Management and other departmental directors/managers in their execution of the business objectives and needs as per this positions responsibilities and on special requests. Completes all assigned responsibilities, including special projects, with minimum supervision.
Responsible for the organization’s Records Management Program. Works closely with all levels of management including the corporate office to insure program complies with the law. The Record Manager will provide education and training to users on the Records Management Program, including the manual, policies and procedures.
Assist the VP & General Manager and other departmental leaders in meeting the business needs by the execution of this position’s responsibilities and on special projects. Key responsibilities include:
Assist the VP & General Manager in managing his/her calendar and schedule as well as assisting with arranging his/her travel.
Schedule meetings, including arrangement for logistics and meals, for the VP & General Manager, Sales Managers and other departments.
Manage the office supply needs for the Administration and sales/marketing areas including review of inventory levels and replenishment.
Maintain select ISCO vendor contracts working with management and contract staff.
Leadership role in managing the overall copy machine contract that supports ISCO, SSI and other Environmental BUs and Shared Services as requested by other BUs, including the negotiation of pricing at contract renewals and the coding of vendor invoices.
Manage the copy machines in the Admin, Sales, Marketing and Engineering areas on ordering supplies and assisting as requested for repair needs to ensure the copy machines are meeting the business needs.
Assist with Front desk receptionist duties by filling in during absences and for assisting when HR has conflicts.
Maintains an effective, efficient and economical records management program in order to assure the retention and protection of the organization’s useful and vital records, and the prompt destruction of records which are no longer needed by developing, coordinating and implementing records and information management policies and procedures. This includes the updating of controlled policies, procedures and documents and notification to the organization of such changes.
Leadership role in managing the off-site records that supports ISCO, SSI and other Environmental BUs or Shared Services as requested by other BUs, including the negotiation of pricing at contract renewals and the coding of vendor invoices.
Ensures proper classification of ISCO’s documents and records within ISCO’s & SSI’s Document Management Programs by working with functional department leadership and by performing internal audits as appropriate.
Works with Teledyne Corporate office in reviewing and ensuring alignment of ISCO’s record management program to corporate guidance.
Works closely with the Teledyne Corporate office and ISCO General Manager on future potential improvements to the records management program and leads communications and work plans within ISCO on changes.
Ensures the continuing high performance of this position’s responsibilities during absences or when needing assistance by ensuring backup staff is trained as appropriate with the support of a quality job manual.
Assists in achieving ISCO’s performance goals by performing other duties as may be required.

Requires a minimum of 2-4 years of related experience. Educational requirements include an associate’s degree aligned with responsibilities of position or the equivalent work experience.
Must exhibit evidence of ability to build and maintain rapport with superiors and peers, and to provide leadership on assigned projects.
Must have a working knowledge of secretarial skills including the ability to type 65 wpm with 95% accuracy, record and transcribe meeting minutes, and be proficient in the use of current versions of Microsoft Word, Excel, Access, PowerPoint and Outlook.
Excellent verbal and written communication skills to communicate to all levels within the company.
Must be a self starter and exhibit evidence of the ability to work independently with limited supervision.
Must be organized and detail oriented.
Membership is encouraged in professional organizations encompassing records and information management.
Generally will be working in an office environment. Work is typically sedentary, requiring frequent fingering, reaching and grasping.
Requires occasional synthesizing, computing, mentoring, negotiating, speaking-signaling, talking and giving instructions. Requires regular coordinating, compiling, copying, analyzing, and comparing. Also requires regular planning, developing alternatives, organizing and implementing solutions.
