Position Summary and Responsibilities

Purchases materials, equipment, supplies and services of a specialized or complex nature in accordance with prescribed purchasing regulations and procedures.

 

Essential Duties and Responsibilities include the following. Other duties may be assigned.

 

  • Performs all procurement functions including purchasing, interface with accounts payable, costing, planning, materials management, import/export management and coordination with shipping/receiving
  • Handles procurement categories such as office supplies, facility and medical supplies and hazardous chemicals/gases
  • Manages invoices for accounts payable and rectifies for discrepancies
  • Tracks open Purchase Orders to ensure on-time delivery and expedites as necessary
  • Manages credit invoices for return and rejected materials, sends out for calibration and plans/ensures their return
  • Checks for and corrects any drawing mistakes before procurement
  • Coordinate with planning to plan and procure standard product material by history, forecast and safety stock
  • Maintains inventory levels for Judson facility
  • Serves as a backup to reception with associated duties including answering phones, performing security functions, maintaining conference room schedules, planning refreshments for meetings and visitors and managing the mail center
  • Manages import and export functions for procurement and trains employees on these functions as needed
  • Manages ITAR procurement by sending forms to ITAR-approved suppliers and maintaining ITAR documentation returned
  • Provides reporting to reflect expense usage, fed-ex shipments, quarterly cost savings, small business reports, gas and chemical usage and government orders
  • Sends Part Classification forms to suppliers on current orders
  • Work closely with engineering and quality departments to develop new suppliers
  • Perform remote and on-site assessments of suppliers
  • Prepare and send supplier scorecards, and work with suppliers to increase performance with regards to cost, on time delivery, and product conformance
  • Monitors projects to ensure completion on schedule and within budget
  • Assist in the development and administration of the department’s overall budget

Qualifications

To perform the job successfully, an individual should demonstrate the following qualifications and competencies:

 

  • Ability to maintain strong, professional relationships with suppliers and customers
  • Superior negotiation skills and ability to constantly interface with management and suppliers
  • Ability to work in a high volume environment with difficult deadlines
  • Excellent verbal, written and presentation communication skills
  • Advanced computer proficiency using Microsoft Office Suite (Word, Excel & PowerPoint)
  • Excellent Reasoning and critical thinking skills
  • Displays exemplary ethics and business conduct and performs work cognizant of safe work practices
  • Experience with MRP systems, (Deltek Costpoint preferred)
  • Experience with import/export compliance a plus
  • Experience with government contracts a plus

 

Citizenship Requirements

 

Due to the type of work at the facility and certain access restrictions, successful applicants must be a U.S. Citizen.

 

Education and/or Experience

  • High School Diploma with ten (10) plus years of experience in a procurement function as a Buyer/Purchasing Agent (Bachelor Degree with three (3) plus years of experience preferred)
  • Certificate in Purchasing Management, Negotiation and/or Import and Export highly desirable
